Advancr Pty Ltd (“Advancr”, “we”, “us”, “our”) is an Australian bookkeeping and small-business financial services provider.

We understand that the information our clients share with us is important and often sensitive. We are committed to managing personal information in a responsible, secure and transparent way.

This Privacy Policy explains how we collect, use, disclose and protect personal information in connection with our services and our website.

This policy is written with reference to the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Even where the small business exemption may apply, we choose to handle personal information in line with the APPs as a matter of best practice.

2. What personal information we collect

The personal information we collect depends on how you interact with us and the services we provide.

Information about clients and prospective clients may include:

  • names, business names and contact details
  • role or position in the business
  • billing and payment information
  • communications and enquiries you send us
  • information contained in financial records you provide to us.

Information contained in bookkeeping and financial records may include:

  • invoices, receipts and expense records
  • bank statements and transaction data
  • accounting system records and journals
  • financial reports and supporting documentation.

Where payroll records are provided, we may also handle information about employees, contractors or suppliers, including:

  • names and contact details
  • employment or engagement details
  • payroll or reimbursement information
  • bank account details appearing in records.

Tax File Numbers (TFNs) may appear in documents provided to us. Where this occurs, we handle TFN information in accordance with applicable TFN rules and apply heightened security controls.

We do not intentionally collect sensitive information unless it is included in financial records necessary for our services.

  • through workflow, automation and document-processing tools.

Where clients provide information about others, they are responsible for ensuring those individuals have been notified.

  • preparing reports and BAS support
  • managing billing and client relationships
  • operating and improving our systems
  • complying with legal and tax obligations.

We do not sell personal information.

5. Use of automation and AI tools

We use automation and AI-assisted tools to extract data, categorise transactions and identify patterns.

We select reputable providers and ensure outputs remain subject to human review.

6. Disclosure of personal information

We may share personal information with:

  • cloud and accounting software providers
  • bank feed and data aggregation platforms
  • document and automation providers
  • professional advisers and regulators where required.

7. Overseas disclosures

Some providers store or process data outside Australia, including in the US, EU and Asia-Pacific regions. We apply contractual and security safeguards to protect information.

We use access controls, encryption, staff confidentiality and secure systems, but no online system is completely secure.

9. Data retention

We retain data as required for service delivery, legal compliance and business operations. Data is securely destroyed or de-identified when no longer required.

You may request access or correction of personal information we hold about you.

11. Data breaches

Where required, we will notify affected individuals and the OAIC under the Notifiable Data Breaches scheme.
