Bookkeeping Packages for Small Business: How to Choose the Right Plan

Every plan should tell you exactly what you're getting, not just what it costs. Here's what's actually included in Core, Momentum, and Velocity, and how to work out which one fits your business.

If you've searched for "bookkeeping packages for small business," you've probably noticed the same problem everywhere: providers list a price, but not what you actually get for it. That makes comparing plans almost impossible, and it's exactly why so many businesses end up either overpaying for services they don't use, or underpaying and outgrowing their bookkeeper within six months.

At advancr, our packages are built around one idea: you should always know exactly what you're paying and exactly what you're getting. No hourly billing, no surprise invoices, no vague "custom quote" conversations. Just three fixed-fee plans, each covering a defined scope, built for different stages of business growth.

Here's exactly what's in each one, and how to work out which is right for you.

Why fixed-fee

Why fixed-fee packages beat hourly bookkeeping

Most traditional bookkeepers still bill by the hour, at anywhere from $50 to $120/hr in Australia. On paper that sounds flexible. In practice, it means:

  • Your invoice changes every month, which makes budgeting for bookkeeping harder than it should be
  • A busy month with extra transactions, a payroll change, or BAS time can quietly double your bill
  • You hesitate to ask questions or request extra clarification because you're not sure what it'll cost

advancr's package model flips that. You choose a plan with a clearly defined scope, agreed upfront, and your monthly cost doesn't move unless you choose to upgrade. That's what turns bookkeeping from a variable, anxiety-inducing expense into a predictable line item, the same way you'd budget for software or rent.

At a glance

advancr's bookkeeping packages at a glance

Plan Monthly fee Best for
Core $249/mo Sole traders and small businesses needing clean, reliable, compliance-ready bookkeeping, with no add-ons required
Momentum $449/mo Businesses that want monthly visibility into what's actually happening in their numbers, not just reconciled records
Velocity $749/mo Growing businesses whose day-to-day decisions depend on near-term financial clarity, like cash timing and emerging cost trends

Every plan is a fixed monthly fee, month-to-month with no lock-in contract, and compatible with Xero, MYOB Business/AccountRight, and QuickBooks Online.

What's included

What's included at each tier

Core ($249/month): Compliance-Ready Bookkeeping

The financial foundation every business needs, with minimal founder involvement.

  • Ongoing bookkeeping and transaction coding
  • Bank and credit card reconciliations
  • Accounts payable and receivable recording
  • GST coding and BAS-ready records
  • Payroll journal posting (where applicable)
  • Structured digital record keeping
  • Query management workflow
  • Month-end close and file review

Documents are due by the 5th of each month, with bookkeeping completed by the 15th. That's a predictable rhythm every month.

Not included in Core: BAS lodgement itself, payroll processing/STP submissions, cash flow forecasting, management reporting, or budgeting. Your books are always kept BAS-ready; the actual preparation and lodgement is a separate add-on, covered below.

Momentum ($449/month): Bookkeeping + Monthly Financial Insight

Everything in Core, plus a structured monthly view of what's actually happening in your numbers.

  • Everything in Core, plus:
  • A monthly financial summary covering revenue/expense overview, month-on-month movement, and a plain-language explanation of what changed, delivered by the 20th
  • Cash position and working capital indicators, including outstanding receivables/payables and potential short-term pressure points
  • Trend awareness monitoring that flags repeated exception patterns (e.g. an expense category climbing for 2+ months straight) which may need a closer look
  • A monthly alignment check-in, with up to two rounds of clarification via your shared workspace

Not included in Momentum: BAS lodgement, payroll processing, detailed management reporting packs, cash flow forecasting/modelling, or budgeting.

Velocity ($749/month): Bookkeeping + Forward-Looking Financial Awareness

Everything in Core and Momentum, plus visibility 2-3 months ahead.

  • Everything in Core and Momentum, plus:
  • Forward-looking financial awareness covering short-term cash risk indicators, payables/receivables timing sensitivities, emerging cost trends, and run-rate changes
  • Contextual interpretation of financial signals: whether a change looks structural or one-off, and when something's worth raising with your accountant
  • A quarterly financial review checkpoint, delivered within the first week of each new quarter

Worth being upfront about: Velocity is pattern recognition and flagging based on your bookkeeping data. It is not cash flow forecasting, financial modelling, budgeting, or CFO-style advisory. If that's what you're after, that's a different service entirely. For keeping your books accurate, reconciled, and giving you forward visibility into what's coming, Velocity is the top tier.

Add-ons

Add-ons: extending your plan as you grow

Bookkeeping needs rarely stay static, so any plan can be extended with add-ons rather than forcing you into a full tier upgrade before you're ready:

  • BAS Preparation & Lodgement: $140/quarter or $70/month, prepared and lodged with the ATO as registered agents
  • Payroll Processing: from $150/month (up to 5 employees), $250/month (6-10 employees), or $350/month (11-20 employees), including pays, super, and STP lodgement
  • Catch-Up Bookkeeping: a one-off add-on if your books have fallen behind, charged at $249 per month of catch-up required (e.g. 6 months behind = $1,494 one-time), regardless of which ongoing plan you choose

These attach to your existing plan rather than replacing it, which is part of why the packages stay simple to compare, even as your needs get more specific.

Worth knowing

Every advancr plan is month-to-month with no lock-in contract. You can upgrade, downgrade, or cancel at any time, and moving between tiers as you grow is a plan change, not a new contract.

How to choose

How to choose the right plan

  • If you're a sole trader or small business needing clean, reliable records with no extras, start with Core. It covers reconciliation and compliance-ready books without paying for insight you don't need yet.
  • If you want more than reconciled records, and want to actually understand your numbers each month, Momentum adds the monthly summary, cash position visibility, and trend flagging that turns bookkeeping into something you can act on.
  • If cash timing and emerging trends are already shaping your decisions week to week, Velocity's forward-looking awareness and quarterly checkpoint are built for that stage.

You're not locked into a plan forever. Moving from Core to Momentum to Velocity, or adding BAS or payroll along the way, is a plan change, not a new contract.

Common questions

Common questions about bookkeeping packages

No. All advancr plans are month-to-month with no lock-in. You can upgrade, downgrade, or cancel at any time.

Not by default. Every plan keeps your books BAS-ready, but the actual preparation and lodgement is an add-on ($140/quarter or $70/month) available on any tier.

That's what Catch-Up Bookkeeping is for: a one-off add-on charged at $249 per month of catch-up, regardless of which ongoing plan you choose. It's added to your initial payment, not billed separately.

Xero, MYOB Business/AccountRight, and QuickBooks Online, with other platforms available by arrangement.

Yes, you can move between Core, Momentum, and Velocity at any time, with changes taking effect from the next billing cycle.

No. Velocity gives you forward-looking awareness based on your bookkeeping data, flagging emerging patterns 2-3 months out, but it isn't cash flow forecasting, financial modelling, or strategic advisory.
